The day's records

Your daily rhythm

1
Capture the paperwork

Photograph the POS closing report, receipts and supplier invoices.

2
Check before recording

Confirm the date, category and amount. Keep the original attached.

3
Count what matters

Record meat, bread, drinks and packaging at the end of the day.

Fixed cost details

Editing changes the plan for its entire date range, including past months. For a new rate from a later month, end the old cost and add a new cost starting that month. Opening-month proration starts on 23 October; other new costs start on the first of their start month.

Remove fixed cost

Remove this cost from all planned months? You can restore it using Show removed costs. To keep past months, use Edit and set an end month instead.

Totals show document amounts. Profit, VAT treatment, cash reconciliation and recipe-based stock usage are not yet calculated.

Your document archive

Documents by date

Find receipts, invoices, POS reports and manual entries for one day.

Includes pending, approved and excluded records. Manual entries are marked as having no document. Staff can view their own submissions; the owner can view all records.

From paper to records

Capture today's details.

One receipt or POS report per file. Upload several files together.

Manual entry

Record sales or costs when you have no receipt or report.

Marked as a manual entry with no supporting document. Owner approval is required before it counts in totals. Do not enter sales already included in a POS report. Other income is shown separately from sales.

New upload

Manual review
Keep every detail in the picture.

JPG, PNG, WebP or PDF · up to 10 MB per file · up to 10 files

After uploading, choose Read with AI in the review queue, or enter totals manually.

A good photo saves time.

✓
Show the whole document

Include the supplier, date, item lines and total.

✓
Keep it sharp and flat

Check the small text is readable and avoid shadows.

✓
Use the trading date

A closing report after midnight may belong to the previous business day.

For pre-opening purchases, use 23 October as the business date and put the actual receipt date in notes. Choose setup cost for equipment, deposits and licensing.
Check, then approve

Every number has a source.

Owners can open originals and approve totals. Staff can see their own submissions.

For POS reports, enter net sales after discounts and refunds using a consistent tax basis. Add cash/card details in notes for now. Avoid approving both a daily summary and its individual sales receipts.

Stock history

Compare recorded quantities for each item over time.

Each daily value is the latest count for that item, unit and opening/closing timing. Counts are not added together. Missing days are not zero. Different units are kept separate.

These are physical observations. Recipes, purchase quantities, cooking yields and waste movements must be connected before showing expected stock or shortages.
